Privacy Policy

Hamro Driving is a management platform for driving schools. This policy explains what information we collect, how we use it, and the choices you have. It applies to driving-school owners and staff who use the dashboard, learners who interact with schools through Hamro Driving, and visitors to our public site.

1. Who we are

Hamro Driving (“Hamro Driving”, “we”, “us”) provides software that driving schools use to manage students, instructors, vehicles, lesson packages, payments and invoices, and to publish a public profile in our school directory. Hamro Driving is a multi-tenant service: each school is a separate tenant and can only ever access its own data.

For the operational data a school stores about its students, instructors and vehicles, the school is the data controller and Hamro Driving acts as a processor on the school’s behalf. For the account and billing data we hold about the school itself, and for our public website, Hamro Driving is the controller.

2. Information we collect

Depending on how you use Hamro Driving, we may process:

  • School account data, the school name, address, contact person, logo, login email and password (stored only as a secure hash), and subscription package.
  • Student records entered by schools, name, gender, contact details, address, a portrait photo and scanned citizenship documents, enrolled lesson packages, attendance, fees and payment history.
  • Instructor records, name, gender, photo, contact details, citizenship and license numbers, joining date, salary details, sessions and attendance.
  • Vehicle & asset records, vehicle photos, identity details (number, engine and chassis numbers), bluebook and insurance information, maintenance history and school assets.
  • Financial data, income and expense entries, debtor and creditor ledgers, invoices and payment methods recorded by the school.
  • Enquiries, when a learner or prospect contacts a school or our team, the name, email, phone and message they submit.
  • Technical data, basic log and device information needed to operate and secure the service.

Schools are responsible for collecting their students’ and instructors’ consent before entering personal information (including photos and citizenship documents) into Hamro Driving.

3. How we use information

  • To provide the platform, running dashboards, generating invoices and reports, sending session and payment reminders, and powering the public school directory.
  • To authenticate users and keep each school's data isolated and secure.
  • To respond to enquiries and route them to the correct school or to our team.
  • To operate, maintain, debug and improve the service.
  • To comply with legal obligations and enforce our Terms of Service.

We do not sell personal data, and we do not use student or instructor records for advertising.

4. What is public and what is private

Only the information a school chooses to publish, its public profile (intro, logo, location, contact person) and its lesson packages and prices, appears in the public directory at /schools.

Student and instructor data is never exposed publicly. It is visible only to the owning school’s authenticated administrators.

5. Storage, hosting and processors

Application data is stored in our backend database, and uploaded images (school logos, student portraits and citizenship scans, vehicle photos and instructor portraits) are kept in dedicated storage buckets. We use a limited number of infrastructure and service providers to host the platform and deliver notifications; they process data only on our instructions and under appropriate confidentiality and security commitments.

6. Data retention

We retain school, student, instructor and financial records for as long as the school’s account is active and as needed to provide the service. A school can update or delete records from its dashboard. When a school closes its account, we delete or anonymise its data within a reasonable period, except where we must retain certain records to meet legal, accounting or security obligations.

7. Security

We protect data with role-based access, per-school isolation enforced on the server, hashed passwords, and access controls that prevent the browser from reaching the database directly. No system is perfectly secure, but we work to safeguard your information and to notify affected parties of any breach as required by law.

8. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal data. If you are a student or instructor, please contact the driving school that holds your records first, as they control that data; we will support them in fulfilling your request. For account or website data we control, contact us using the details below.

9. Children

Hamro Driving is intended for use by driving schools and their adult staff. Learner records are entered by schools; where a learner is a minor under local law, the school is responsible for obtaining the necessary parental or guardian consent.

10. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above, and material changes will be communicated through the service.
